Executive - Purchasing
Job Summary
We are seeking a proactive and detail-oriented Purchasing Executive to handle end-to-end purchasing activities, ensuring timely and cost-effective procurement to support project needs.
Job Responsibilities
- Responsible for issuing Purchase Order and with correct quantity and price within lead time set upon receiving the request for Project (SO, SDO, production order, VO, SR, CF & etc) and Purchase Requisition.
- Ensure PO is sent and received by supplier, to enable them to deliver on time.
- Monitor and follow up on all outstanding PO with supplier.
- Negotiate with supplier for optimum cost, lead time, minimum order quantity and payment lead time.
- Monitor supplier product quality and delivery performance.
- Conduct price negotiation with supplier for project purchases.
- To have multiple resources of supplier in the event there is insufficient stock or quality issue from some suppliers.
- To compile and verify the price and quantity matches supplier invoices against the PO before passing to accounts departments for payments.
- Ensuring information in ERP is updated and correct, otherwise need to inform superior to get approval for changes.
- Claim for defects to supplier in written if found there is defective goods received.
- Ensure item out of stock has an alternative substitute from supplier or advise lead time to related parties.
- Issue Purchase return or GRN for items which need to be sent back to supplier and once approved by the superior.
- Request supplier on FOC, special pricing, sponsorship and etc., as and when required.
- Attend meeting as and when requested when involving buying, issuing PO, delivery and areas where procurement are involved.
- Liaise with sales person, site personnel, suppliers, production, warehouse to ensure goods purchase, storage, delivery lead time are met.
- Coordinate and arrange for project packing and delivery according to schedule.
- ISO reports to be updated on monthly basis.
- As well as any other duties assigned from time to time by management.
Job Requirements
- Min. Certificate in Supply Chain, Business Admin or equivalent.
- Fresh graduate or min. 1 year experience in similar function scope.
- Good Knowledge in Microsoft Word, Excel, PowerPoint.
- Able to study and understand drawing and bill of quantity.
